Everything is slow in multi-user mode

One user is fine. Four users and the file crawls. The usual cause is file size and list bloat rather than your network, and swapping the server rarely fixes it.

The file will not stop growing

A company file that grows every month without a matching growth in transactions is carrying audit trail, TLG and list overhead you do not need to keep in the live file.

You are near the 14,500 name limit

QuickBooks Pro and Premier cap the combined customer, vendor, employee and other-name lists at 14,500. Hitting it stops you adding customers, which stops you invoicing.

Verify and Rebuild keep failing

Running Rebuild repeatedly on a damaged file can make things worse. Repeated failure is a signal to stop and get the file looked at, not to run it again.

Reports time out or do not tie out

Reports that hang, or a balance sheet that will not agree to your own trial balance, usually point at damaged links inside the file rather than at how the report is built.

Merges and retires duplicate and dormant names to pull you back under the 14,500 ceiling so you can add customers again. Active names, balances and history stay where they are.

File repair and recovery

For files that fail Verify Data, throw error codes, or will not open at all. We work from a copy, identify what is damaged, and rebuild the structure without inventing transactions to fill gaps.

File merge

Combines multiple company files into one, so consolidated reporting stops being a monthly Excel exercise. Common for organizations that grew by acquisition or split files by year.

You send a copy of the file. We report its actual size, list counts against the limits, audit trail and TLG overhead, and whether it passes Verify. No charge and no obligation. If the file is healthy we tell you that and you keep the report.

Fixed scope and fixed price

A written scope naming what we will do, what the file will look like afterwards, and what is not coming across. Priced as a fixed fee in Canadian dollars, not an hourly estimate that drifts.

Your live file stays in use. Your team keeps invoicing and processing payroll while we work. There is no multi-day shutdown and no weekend cutover unless you specifically want one.

The returned file passes Verify Data. We reconcile balances against your originals and walk you through the archive copy so you know exactly where your closed-period detail lives.

What Canadian files need that the generic advice misses

GST and HST history is not optional

A condense that quietly drops filed sales tax detail is a problem the first time you are reviewed. We keep your filed period detail intact and tell you exactly where it sits after the job.

Multi-currency files behave differently

CAD and USD books with realised and unrealised exchange gains carry extra structure. Removing multi-currency is possible but changes historical reporting, so we quantify what shifts before you agree to it.

Payroll history and CRA remittances

Payroll detail and remittance history are the parts clients most often assume will survive and most often ask about afterwards. It is named explicitly in the scope, either way.

Will I lose any history when you condense my file?

Not from your records. A condense removes closed-period transaction detail from the live working file and preserves it in an archive copy that you keep. Summary journal entries hold the balances so your reports still tie out. What you lose is the ability to drill into individual closed-period transactions inside the live file, which is why the archive copy matters and why we walk you through it on handback.

How large is too large for a QuickBooks company file?

There is no single number, and anyone who gives you one is guessing. What matters is size relative to your hardware, your user count and your list counts. Files that feel slow in multi-user mode are usually the first real signal. The free health check gives you your actual numbers instead of a rule of thumb.

What is the 14,500 limit and does it apply to me?

QuickBooks Pro and Premier cap the combined total of customers, vendors, employees and other names at 14,500. It is a hard stop: at the limit you cannot add a new customer, which means you cannot invoice them. Enterprise raises the ceiling substantially. If you are within a few hundred names, list reduction is urgent rather than optional.

Can you fix a file that fails Verify Data?

Usually. Repeated Rebuild attempts on a damaged file can compound the damage, so the right move is to stop running it and send us a copy. We identify what is structurally damaged and repair it, and we give you a written list of anything that cannot be recovered rather than inventing transactions to fill the gap.

Do we have to stop working while you have the file?

No. We work on a copy and your live file stays in use throughout. Your team keeps invoicing and running payroll. There is a short cutover at the end when you switch to the optimized file, measured in minutes for most clients.

How do you price this?

Fixed fee in Canadian dollars, quoted after the free health check, because the price depends on file size, damage and how much list work is involved. You get the scope and the number in writing before any work starts. We do not quote hourly for this because a drifting estimate is the client problem we are usually hired to clean up.

Do you work on QuickBooks for Mac and QuickBooks Online?

QuickBooks for Mac, yes, including data recovery. QuickBooks Online is different: because Intuit hosts the file, most condense and repair work does not apply. If your QuickBooks Online company is slow or unwieldy, the issue is usually list hygiene or data structure, and we will tell you honestly whether there is anything worth paying us for.

We are a Canadian company with GST and HST filed through QuickBooks. Is that at risk?

No, and it is the first thing we check. Filed sales tax detail is preserved and its location after the job is named in the scope document. If a particular request would compromise it, we tell you before you agree rather than after.
