QuickBooks Desktop Pro and Premier to QuickBooks Online

You cannot buy QuickBooks Desktop Pro or Premier in Canada any more. This one is a schedule, not a choice.

Intuit stopped selling QuickBooks Desktop Pro, Premier and Desktop Payroll to new Canadian subscribers on 15 April 2025. Separately, every annual Desktop version reaches a discontinuation date, and when it does you lose security updates, support and the connected services you actually use every day: payroll and bank feeds. QuickBooks Desktop 2022 hit that date on 31 May 2025. The versions behind it are on the same conveyor.

The facts

What Intuit did, and what it actually means

There is a lot of noise about QuickBooks Desktop. Here is the part that affects a Canadian Pro or Premier user, separated from the part that does not.

If someone has told you your file will stop opening on a specific date, that is not accurate and you should discount the rest of what they said. The file keeps opening. Payroll and bank feeds are what leave.

The fork

Two honest options, and neither one is wrong

Most providers will push you to whichever they sell. There are two real answers here and the right one depends on about four things.

Move to QuickBooks Online

Right for most Pro and Premier users. Your file is smaller and simpler than an ERP exit, the migration is short, and you land on a product with a future. No more annual upgrade, no more version anxiety, no server, and your accountant gets access without a licence.

Choose this if your team is under five to twenty five people, your inventory is straightforward or nonexistent, and you do not depend on a Premier industry-specific report that has no cloud equivalent.

Upgrade to QuickBooks Desktop Enterprise

Right for a minority, and we will tell you if you are one. Enterprise is still sold in Canada, keeps the desktop interface your team already knows, and carries capability Pro and Premier never had: advanced inventory with bin, lot and serial tracking, up to 40 concurrent users, and deeper job costing.

Choose this if you have real inventory complexity, a genuine need for more than twenty five users, or construction job costing at full depth. Understand that you are buying more time on the desktop path, with a per seat licence and, if your team is not all on one network, a hosting bill.

Which QuickBooks Online plan you actually need

This is where money gets wasted. A lot of Pro and Premier users are sold Advanced when Plus is the correct plan, because Advanced is the bigger sale. Here are the limits so you can check for yourself.

Count your users, your accounts and your classes before the call. Most Pro files fit inside Plus comfortably. Premier files with several departments or locations are the ones that genuinely need Advanced, and we will show you the count from your own file rather than guessing.

Premier

If you are on a Premier industry edition, read this first

Pro and Premier migrate almost identically except for one thing. Premier ships industry-specific editions, and those editions carry reports that have no direct cloud equivalent.

Contractor edition

Job costing by phase and cost code, job estimates versus actuals, and committed costs. QuickBooks Online handles project profitability but not at the same depth. Most Canadian contractors either accept the simplification or bridge it with a connected application, and a few should upgrade to Enterprise instead.

Manufacturing and wholesale

Sales orders, build assemblies and bills of material. None of the three exist natively in QuickBooks Online. If you build things weekly this is the single most important conversation on your call, and it usually points at Enterprise or at an inventory application alongside the cloud.

Non-profit edition

Fund and donor tracking through classes, plus the non-profit statement formats. These translate reasonably well using classes and locations, but the report layouts get rebuilt. Canadian charities filing obligations differ from the US templates the edition assumes, which is worth checking either way.

Professional services edition

Time tracking, billing rates and project profitability. This is the edition that translates most cleanly, because QuickBooks Online projects and time tracking cover most of it natively.

Retail edition

Sales summaries and inventory reorder reporting. Usually fine, provided your point of sale system has a QuickBooks Online connector. Checking that is part of discovery, not something to find out after cutover.

General business

Nothing edition-specific to worry about. These are the fastest migrations we run on this platform and they are frequently done inside a week.

Canada

The Canadian details that matter on a small file too

A smaller file does not mean smaller compliance obligations. These four apply whether you are two people or twenty.

Your sales tax history has to survive

HST at 13 percent in Ontario. 14 percent in Nova Scotia. 15 percent in New Brunswick, Prince Edward Island and Newfoundland and Labrador. GST plus PST in British Columbia at 7 percent, Saskatchewan at 6 percent and Manitoba at 7 percent. GST plus QST in Quebec at 9.975 percent. GST only in Alberta and the territories.

Historical transactions keep the code they were filed under, mapped to the right agency. We reconcile a sales tax summary from both systems before go live so you can see it rather than trust it.

Input tax credits have to be reproducible

If the migration moves summary balances rather than transactions, you can still file, but you cannot substantiate a filed return. That is the exact document the CRA asks for when they ask for anything. We move at transaction level for that reason.

Six years, at a Canadian place of business

The CRA requires records to be kept for six years from the end of the last tax year they relate to, and to be kept at your place of business in Canada unless you have written permission otherwise. Your retired Desktop company file becomes a structured archive built to meet that, delivered to you.

Your data is processed in Canada

Extraction, staging, transformation and validation all happen in Canada. We do not send a Canadian client file offshore to be worked on, and it goes in the statement of work.

Process

How a Pro or Premier migration runs

Shorter than an ERP exit, and deliberately so. The gates are the same, the phases are just quicker.

Assessment

We take a copy of the company file and profile it: version, edition, list counts, user count, class and location count, inventory, payroll and connected applications. Output is a written scope naming what is not coming across, and the recommended destination plan.

Destination setup

Chart of accounts, sales tax codes and agencies, classes and locations, custom fields, user roles. Configured deliberately rather than accepting whatever the conversion produces.

Test migration

Full conversion into a test company. Trial balance, balance sheet, profit and loss, AR and AP ageing, sales tax summary and inventory valuation compared line by line against Desktop. You review and sign off.

Cutover

Final delta migration, usually over a weekend. Your team keeps working in Desktop until we switch, and reconciliation repeats against the final numbers.

Reconnect and train

Bank feeds established, rules rebuilt, connected applications re-authorised. Role training for your team on the parts of QuickBooks Online that differ from Desktop, which is mostly navigation rather than accounting.

Hypercare and archive

Thirty days of support after go live, including your first month end with us on the line. The Desktop file is archived in a readable form to meet the six year requirement.

Questions Canadian business owners ask

Before you book

Will my QuickBooks Desktop file stop working?

No. The software keeps opening and your data stays readable. What stops at a version’s discontinuation date is security updates, technical support and connected services, which means payroll and online banking. For most businesses that is the practical end of usability, but it is not the file switching off.

Can I still buy QuickBooks Desktop Pro or Premier in Canada?

No. Intuit stopped selling Desktop Pro, Premier and Desktop Payroll to new Canadian subscribers on 15 April 2025. QuickBooks Desktop Enterprise is a separate product and remains available in Canada.

Should I go to QuickBooks Online or upgrade to Enterprise?

Online for most Pro and Premier users. Enterprise if you have genuine inventory complexity with bin, lot or serial tracking, need more than twenty five users, or run construction job costing at full depth. We look at your file and tell you which one you are rather than recommending the bigger sale.

Do I need QuickBooks Online Advanced?

Often not. Plus covers 5 billable users, 250 accounts and 40 classes and locations combined, and most Pro files fit inside that comfortably. Advanced is right when you exceed those counts, and we show you the counts from your own file before you buy anything.

Will my GST and HST history survive?

Yes, when the conversion runs at transaction level. Every historical transaction keeps the code it was filed under and the codes are rebuilt against the correct agencies. We reconcile a sales tax summary from both systems before go live.

What happens to my memorized reports and custom invoice templates?

Neither converts on any platform. We inventory your reports before cutover, rebuild the ones you actually send and archive the rest. Invoice and statement templates are rebuilt in QuickBooks Online form styles so what your customers receive looks the same.

How much history can I bring?

All of it in most cases. Many small businesses bring two to three years live and keep the rest as an archived source file, which is faster, cheaper and still satisfies the six year record requirement.

Can you do it without disrupting my bookkeeping?

Yes. Your team keeps working in Desktop right up to cutover, which usually happens over a weekend. Reconciliation runs against the final numbers before anyone is asked to use the new system, and we are on the line for your first month end.
