Roles you can hire

Every seat is a named professional who works an overnight shift against your business day and reports into your team. You interview them before they start. On an FTE, that person is dedicated to your firm alone.

How the engagement works

From first call to productive team in about four weeks.

01

Scoping call

Day 0 · 30 min

We map the roles, volumes, software and review model. You leave with a written recommendation, whether or not you proceed.

02

Team match

Days 1–7

Shortlisted profiles with credentials and relevant experience. You interview. You choose. Nobody is assigned without your approval.

03

Security & access

Days 7–10

MSA and individual NDAs executed, background verification confirmed, access provisioned through your controls with MFA and least privilege.

04

Ramp

Days 10–30

Ramp is timed to miss your peak. We onboard tax seats between July and November wherever possible, so the returns they prepare during shadowing are off-peak T2s and adjustments rather than deadline work. A seat onboarded in the fall is fully productive by February.

05

Steady state

Day 30 onward

Weekly check-in, monthly performance review, quarterly capacity planning. Scale up for busy season, scale back after. Thirty days’ notice, either direction.

Your client data never leaves your environment

Work happens inside your systems through a hardened virtual desktop or your VPN. No local downloads, no data at rest offshore, no shadow copies. Every team member is background-verified and signs an individual confidentiality agreement. Access is least-privilege and MFA-enforced.

Questions about offshore tax

Do I need client consent to send returns offshore?
In Canada, the rule is transparency. Under PIPEDA your firm stays accountable for client information handled by a service provider, and clients should be told that their information may be accessed from outside Canada. Most firms cover this in the engagement letter and privacy notice, and we will help you review the wording. In Quebec, Law 25 also calls for a privacy impact assessment before personal information is communicated outside the province. If you prepare US returns, IRC §7216 requires written client consent before disclosure to a preparer outside the United States, and we provide a compliant template for that. Most firms find this is a five-minute conversation with clients, not an obstacle.
What is the turnaround on a return?
It depends on complexity and on your workpaper standard, which is why we scope it on the call. As a working baseline, a straightforward T1 comes back within 48 hours of a complete document set, and a T2 within three to five business days. We agree the SLA in writing before the season starts, not during it.
Can they respond to CRA or IRS notices?
They prepare the response, the analysis and the supporting documentation. The filing and the signature stay with your licensed practitioner, because the offshore seat is a preparer and not an authorized representative.
How do you handle EFILE and preparer identification?
Returns are filed under your firm’s EFILE number, exactly as they would be with any staff preparer. For US returns, your firm’s PTIN and your signing preparer’s details go on the return. The offshore seat is documented internally in your workpapers as the preparer. We provide the documentation your practice inspector will ask for.
What about data security during busy season?
The controls do not change under volume. Work happens inside a hardened virtual desktop or your VPN with local storage, USB, printing and clipboard transfer disabled. The control documentation is available for your review, including IRS Publication 4557 alignment for US returns.
Can we start with just overflow work?
Yes, and many firms do. A fixed-scope busy-season overflow engagement is the lowest-risk way to test the model. If it works you convert to dedicated seats for the following year, with the same people.
